Terms and conditions

Please read these Terms and Conditions ("Terms") carefully before using this website. By accessing or using our website and the services offered on it, you agree to be bound by these Terms in full. If you do not agree with any part of these Terms, please discontinue use of the website immediately.

Important Notice: This website is an independent, privately operated platform. It is not owned, operated, endorsed by, or affiliated with the Government of Sri Lanka, Sri Lankan immigration authorities, any embassy, consulate, or any other governmental body. We assist customers with visa application support, document preparation, digital photo formatting, and related travel documentation services (the "Services") for a service fee.

We may update or revise these Terms at any time without prior notice. Continued use of the website after changes are posted constitutes your acceptance of the revised Terms. Certain individual services may carry their own additional terms, which will be presented to you at the relevant stage and should be read alongside this document and our Privacy Policy.

1. Using Our Website and Services

1.1 Creating an Account

Some parts of our Services may require you to register an account. When registering, you must provide information that is accurate, current, and complete. You agree not to submit false or misleading details. Any personal information you provide is handled according to our Privacy Policy. Persons under the age of 18 are not permitted to register for or use our Services.

1.2 Protecting Your Account

You are responsible for keeping your login credentials confidential and for all activity that takes place under your account. Please notify us immediately if you suspect any unauthorized access to your account. We are not responsible for any loss or damage caused by your failure to safeguard your account details or to log out properly after each session.

1.3 Changes to the Service

We may add, remove, suspend, or discontinue any part of the website or Services at our discretion, with or without notice. We will not be responsible to you or any third party for any such changes.

1.4 Using Our Services on Mobile Devices

If you access our Services through a mobile device, your mobile network provider's standard messaging, data, and other charges may apply. Certain features may not function on all devices or networks. By using our Services on a mobile device, you agree that we (and our service partners) may contact you by SMS or other electronic messaging regarding your application. If you change or cancel your mobile number, please update your account promptly so that future messages are not sent to a new owner of that number.

2. Processing and Delivery Times

We work to process and deliver applications within the estimated timeframes shown on our website, but these timeframes are estimates only and are not guaranteed. Sri Lankan visa/ETA requirements, processing procedures, and approval timelines are set exclusively by the relevant Sri Lankan authorities and may change without notice. We are not responsible for delays or losses caused by circumstances outside our control, including but not limited to severe weather, natural disasters, war or civil unrest, labour disputes, or delays and outages on government systems and portals. While we aim to keep the visa information on our site accurate and current, we cannot guarantee it, and we are not liable for decisions made in reliance on that information.

3. Cancellations and Refunds

We know travel plans can change, and we try to keep our cancellation process fair while staying consistent with immigration processing rules.

When you can request a cancellation

  • Standard/normal processing orders: cancellation requests must be submitted within 1 hour of placing the order.
  • Rush, urgent, or express processing orders: cancellation requests must be submitted within 15 minutes of placing the order.
  • A cancellation can only be granted if your application has not yet been forwarded to or picked up for review by the relevant Sri Lankan authority.
  • Once your application has been submitted for official review, or is already under review or approved, we can no longer cancel it.
  • Orders may be automatically cancelled without refund if you do not supply required documents or information within the requested time.
  • If your application has already been rejected, it can no longer be cancelled, and the fee is not refundable.
  • If you accidentally submit more than one application for the same trip, you may request cancellation of the duplicate before it begins processing.
  • If you simply decide not to travel, you may request a cancellation before processing has started.
  • If further documents are requested from you and not supplied in time, resulting in a rejection, a refund cannot be guaranteed.
  • We are not able to offer refunds where an application is rejected or cancelled because of incorrect, incomplete, or misleading information supplied by you. You are responsible for the accuracy of the details you submit, even though we are happy to guide you through the process.
  • If you believe you were charged twice for the same order, please send us proof of both payments; we will verify this and, once confirmed, process the refund within 3–5 business days.

How refunds work

  • Refunds are available where a cancellation is requested before processing begins.
  • Requests relating to genuine emergencies or unforeseen personal circumstances will be reviewed individually, taking into account whether processing has already started.
  • Cancellation and refund requests linked to a technical fault in our processing system will also be reviewed on a case-by-case basis.
  • Please check that your intended visa type and travel dates line up before applying — once processing starts, changes cannot be made, so any change of plans should be raised with us before that point.
  • If you selected the wrong visa category, a refund may be possible only if you contact us before your application reaches the Sri Lankan authority for review.
  • Fees are non-refundable where a visa is refused due to your own prior immigration history, ineligibility, or a previous rejection.
  • Approved refunds are returned via the same method you used to pay; we cannot send refunds through a different payment channel.

Once a visa has been issued Once your visa/ETA has been approved and issued, the order cannot be cancelled or refunded — including if you decide not to travel, or if you separately obtain a visa on arrival. The approved visa remains valid for its issued period, and the fee already paid is non-refundable.

Timing and your data Cancellation and refund requests are usually actioned right away, though it may take 4–17 business days for the money to reach your account, depending on your bank. Once your application is cancelled, your personal details are removed from our systems in line with our data retention practices below.

Other refund details

  • A refund processing fee (from $20 upward) may be deducted to cover banking and administrative costs; this may vary if you paid in a currency other than USD.
  • We may need to pause or cancel a refund if an issue arises that originates on the customer's side.
  • Because of currency exchange fluctuations, the amount refunded may differ slightly from the amount you originally paid.

4. Limitation of Liability

To the fullest extent permitted by law, we are not responsible for indirect, incidental, special, or consequential losses — including lost profits, lost goodwill, or lost data — even if we had been told such losses were possible. This includes losses connected to:

  • your use of, or inability to use, our Services;
  • obtaining replacement services after a problem with something purchased through our site;
  • unauthorized access to, or changes made to, your data or communications;
  • the actions of any other person using our Services; or
  • any other issue connected with our Services.

Regardless of the legal theory used to bring a claim (contract, negligence, strict liability, or otherwise), our total liability to you will never exceed USD $99.

We use industry-standard safeguards, including SSL encryption and secure servers, to protect the data you share with us. No system can be made completely secure, however, and we cannot promise total protection against hacking, malware, or other attacks. If a breach ever occurs, we will not be liable for resulting damages, as such events are outside our reasonable control. We recommend you also take your own precautions — strong, unique passwords, caution when sharing personal information online, and, if you wish, personal cyber-insurance cover.

5. Payments

We use established third-party payment providers (such as PayPal, Stripe, and other card processors) to handle transactions securely. We do not store your full card details on our own servers. All payment data exchanged with these providers is protected using 256-bit SSL encryption, so unencrypted card information is never transmitted. We work only with processors that maintain strong security standards to protect your financial information.

6. No Warranty

Our Services and website are provided on an "as is" and "as available" basis. We do not offer any warranties, express or implied, including any implied warranty of merchantability, fitness for a particular purpose, or non-infringement. You use our website and Services at your own risk.

7. Regulatory Changes

Sri Lankan visa and entry regulations may change at any time without notice, and we cannot be held responsible for any such change or for delays or losses that result from it. We are not liable for costs arising from disrupted travel plans, cancelled trips, or related expenses of any kind — direct, indirect, incidental, or consequential — however caused. Where we are found liable for any reason, our responsibility is capped at the service fee you paid us for the relevant visa, photo, or document processing service, regardless of the circumstances or our degree of involvement.

8. Cookies and Tracking Technologies

We may use server logs, cookies, and similar tracking technologies to understand how our website is used and to improve our Services. You can adjust your browser settings to be notified when cookies are set, or to block them altogether, giving you control over this data collection.

9. Information From Other Sources

We may use third-party analytics tools (such as Google Analytics) to understand website traffic and usage patterns. We may also receive information about you from other sources, such as social media platforms, if you choose to sign in or interact with us through a third-party account.

10. How Long We Keep Your Information

We keep your personal data only for as long as needed to provide the Services, unless you ask us to change or delete it sooner. Once it's no longer needed for its original purpose, we restrict access to it internally and retain it only where necessary to:

  1. protect our legitimate interests in connection with any dispute or contractual matter;
  2. meet our legal or regulatory obligations; or
  3. complete an investigation into suspected fraud or unlawful activity.

Cookie-related data is kept until you withdraw your consent. Once retention periods expire, your data is permanently deleted from our systems. You may withdraw consent for data processing at any time, and we will act on that request promptly.

11. Sharing Your Information

We may share your data in limited circumstances, including:

  • if our business, or part of it, is sold, merged, restructured, or transferred, in which case customer data may form part of that transaction;
  • with affiliated companies, for purposes consistent with our Privacy Policy;
  • with trusted third parties who perform services on our behalf — for example, handling mail, liaising with visa/immigration agents, managing databases, or processing payments — always under appropriate confidentiality and data-protection safeguards;
  • where you have given us consent to share your information; or
  • where required by law, or where we believe in good faith that disclosure is necessary to comply with a legal obligation.

12. Independence From Government Authorities

This website is a privately owned and operated platform. It is not affiliated with the Government of Sri Lanka, any Sri Lankan ministry or department, any embassy or consulate, or any other government body anywhere in the world. We provide general information and processing assistance regarding travel documentation for a service fee.

All content on this site is offered in good faith for general informational purposes. We make no guarantee, express or implied, as to its accuracy, completeness, or reliability. You use this website, and rely on any information found on it, entirely at your own risk, and we accept no liability for any loss connected with that use or reliance.

13. Links to Other Websites

Our site may include links to third-party websites, content, or advertisements. We do not review, monitor, or verify these external sites, and we do not endorse or take responsibility for their accuracy or reliability. We are not a party to, and take no responsibility for, any transaction you enter into with a third-party website or provider linked from our site.
